Administrative Assistant

    Salary: £25,350 per annum

    Location: Coatbridge and Airdrie

    Hours: 37.5 hours per week

    Donald McLaren Ltd, a long-established, independent, family-run Funeral Directors is seeking a Full-Time Administrative Assistant.

    This role involves supporting the daily operations of a busy office environment.

    Responsibilities:

    • Answering telephones and handling general enquiries.
    • Managing computer input, including data entry and maintaining records.
    • Organising and maintaining files, both digital and physical.
    • Providing general administrative support to ensure smooth office operations.

    What We’re Looking For:

    Qualifications: HNC/D level in a relevant subject or equivalent experience.

    IT Skills: Advanced in IT, including a thorough understanding of computer systems and software such as Microsoft Windows 11 and Office 365.

    Experience: A proven track record of working in a busy administration environment.

    Job Description

    Responsibilities:

    Your role will involve a wide range of administrative duties, including but not limited to:

    • Responding to internal and external enquiries professionally and promptly, whether by phone, email, and in person.
    • Accurately entering client data into funeral software.
    • Preparing and issuing funeral accounts within 7 days of the funeral.
    • Completing and submitting cemetery and crematorium documentation, ensuring timely collection of cremated remains.
    • Prepare, review, and print driver schedules daily.
    • Checking and processing all purchase order invoices upon receipt.
    • Balancing cash, petty cash, and gratuities books at month-end.
    • Provide administrative support for funeral plans and monumental sales.
    • Coordinating with third parties, including florists, catering venues, and newspapers.
    • Handling cash transactions, including customer payments, petty cash, and reconciliation.
    • Maintaining online and paper-based filing systems to ensure transparency and organisation.
    • Preparing weekly and month-end reports, as well as other required documents.
    • Monitoring and maintaining office supplies and equipment to ensure smooth operations.
    • Welcoming and assisting clients, visitors, and suppliers in a professional and compassionate manner.
    • Ensuring confidentiality and security when handling sensitive client information.

    Requirements:

    • Have proven experience working in a busy administrative environment.
    • Possess an HNC/D qualification (or equivalent) in a relevant subject.
    • Exhibit excellent organisational and time-management skills.

    Conditions of Service

    Salary: £25,350 per annum
    Tenure:Permanent
    Hours of Work:37.5 hours per week, with flexibility around a 1-hour lunch break.
    Holiday Entitlement:28 days paid leave (including bank holidays)
    Probationary Period: A 6-month probationary period will apply, during which your suitability will be assessed, and permanent employment may be offered following successful completion.
    Pension:          Eligible workers will be auto enrolled into an attractive Company pension scheme within 3 months of employment. Employee contributions will be deducted through Salary Exchange.
     

    Life Assurance:

     

    This policy covers all employees in the event of death in service, providing a lump sum benefit of 4 times the annual salary to one or more beneficiaries.
